1. Contracting Party
When registering for an event of Caspian European Economic Forum e. V., your contracting party is:

These Terms and Conditions apply to all registrations, orders and participation conditions in connection with events and offers of Caspian European Economic Forum e. V.
2. Contract Formation
Participation in our events generally requires prior registration.
Registration can be made in particular:
- via online forms on our website,
- by email or
- via external registration systems we use.
A contract for participation is concluded upon receipt of our registration confirmation.
Our events are aimed at both businesses and consumers, unless otherwise stated in the respective event description.
The organizer reserves the right to make necessary program changes for important reasons (e.g. change of speakers, adjustment of the schedule, change of event format). The participant’s right of withdrawal and cancellation remains unaffected.
3. Photo and Video Recordings
Photo and video recordings may be taken during our events.
We visibly inform participants on site about such recordings. The recordings serve exclusively:
- for documentation,
- for the association’s public relations,
- for reporting on association activities.
Participants may object to the recording of their person at any time.
In this case, they will not be recorded or corresponding recordings will not be used.
Further use takes place only within the framework of legal provisions.
4. Prices and Shipping Costs
The prices stated in the respective event description or on our website at the time of registration apply.
If participation documents or confirmations are sent by post, no shipping costs are currently charged.
5. Payment
For paid events, you will receive a confirmation and an invoice after acceptance of your registration.
The participation fee is due immediately and without deduction upon receipt of the invoice and must be paid exclusively by bank transfer to the specified bank account.
In case of non-payment, we reserve the right to take legal action including commissioning a debt collection company. This may result in additional costs.
6. Entry Authorization
Entry authorization is only granted after full payment of the participation fee.
It is provided digitally (e.g. by email, link or PDF) or by post – at the earliest four weeks before the event.
7. Cancellation and Return Policy
Unless separate cancellation conditions are set for the respective event, the following applies:
- Cancellations are only possible in writing (e.g. by email).
- Cancellations must be directed to the address mentioned in section 1.
- For cancellations up to four weeks before the event, a cancellation fee of 150 EUR (plus statutory VAT) per person applies.
- For later cancellations, the full participation fee is due.
- A substitute participant can be named at any time without additional costs.
Special, event-related cancellation conditions take precedence.
8. Liability
Caspian European Economic Forum e. V. is only liable for damages caused by intentional or grossly negligent behavior.
In case of slightly negligent breaches of duty, the association is only liable for violations of essential contractual obligations (cardinal obligations), limited to the contractually typical, foreseeable damage.
Liability for indirect damages, consequential damages or lost profits is excluded.
Liability for damages from injury to life, body or health remains unaffected.
9. Force Majeure
If an event cannot take place or can only take place partially due to force majeure, official orders or other circumstances for which the organizer is not responsible, there is no claim for damages or reimbursement of expenses.
In this case, the organizer will inform participants promptly and – where possible – offer alternative dates or alternatives.
10. Copyright and Usage Rights
All content, presentations, documents and materials provided in the context of the event are protected by copyright.
Without express written consent of Caspian European Economic Forum e. V. or the respective rights holder, they may not be:
- reproduced,
- distributed,
- made publicly available,
- or used for own purposes.
11. House Rules and Participation Conditions
The organizer exercises house rules during the event.
Instructions from staff must be followed.
The organizer may exclude participants who violate instructions or behavioral rules from the event.
There is no claim for reimbursement of the participation fee in such cases.
12. Data Protection
The protection of personal data has the highest priority for us.
The processing of personal data takes place exclusively on the basis of applicable data protection laws, in particular the GDPR.

13. Final Provisions
Should individual provisions of these Terms and Conditions be or become invalid, the validity of the remaining provisions remains unaffected.
The law of the Federal Republic of Germany applies.
Insofar as legally permissible, Berlin is agreed as the place of jurisdiction.
